What data we collect
- Contact form – name, email, company, job role, enquiry type, message.
- Usage data – aggregated, anonymous metrics (e.g., page-load time) without placing cookies.
- Server logs – IP address and user-agent for security and debugging.
- Email engagement data – open status, link clicks, technical details (IP address, browser type, device type) when interacting with marketing or partnership emails.
Why we collect it — lawful bases
- Demo / partner enquiries – to answer your request (UK GDPR Art. 6 (1) (b)).
- Site performance metrics – legitimate interest (Article 6(1)(f)).
- Security logging – to protect the Site (Art. 6 (1) (f) – legitimate interest).
- Email engagement tracking – for business-to-business contacts: legitimate interests in promoting and improving our services (Art. 6(1)(f)); for other contacts: your consent, where required by law.
Email marketing and tracking
We use Woodpecker.co to send certain marketing and partnership emails. These may include tracking technologies such as:
- Tracking pixels – to record whether an email was opened and when.
- Tracked links – to record whether a link was clicked and when.
When you interact with these emails, Woodpecker may collect technical details such as your IP address, browser type/version, device type, and the date/time of the interaction. This information helps us measure engagement and improve the relevance of our communications. You can opt out of receiving tracked emails by using the unsubscribe link in any campaign email or by contacting us at dpo@AIChatInnovators.com.
How long we keep it
Web-form submissions: 24 months.
Server logs: 30 days.
Email engagement data: 12 months.
Your rights
You may access, correct, delete or limit the personal data we hold about you. Email dpo@AIChatInnovators.com. If unsatisfied, you can complain to the UK Information Commissioner’s Office (ICO).
International transfers
All data is hosted in EU data centres. If we use processors outside the UK/EU, we rely on approved safeguards such as Standard Contractual Clauses. Woodpecker stores campaign recipient data on secure servers located in the European Union.
